  • Clear, precise, and professional communication skills - both written and verbal.

  • Capable of responding to stress in a fast-paced environment.

  • Honesty, integrity, and a strong work ethic - with the ability to work independently and make sound decisions.

  • Experience with Google Suite and Google Calendar is preferred; familiarity with Microsoft Office is beneficial.

  • Proficiency with task management programs (such as Streak and Asana), along with communication programs such as Slack.

  • Typing ability of at least 50 WPM with accuracy.

  • Social media experience is a plus.

  • Bachelor's degree or above

  • Minimum of 6 months to 1 year of administrative experience.

Fine Print

Our Virtual Assistants (VAs) specialize in supporting executives and entrepreneurs alike. We are currently accepting applications from anywhere in the continental United States. Rivvly hires on an as-needed basis, meaning we pull from our current application pool when hiring needs arise and application does not guarantee immediate placement. Please note, that this position is an hourly, 1099 contractor role and all applicants may be subject to a background check before a contract offer. Additionally, Rivvly participates in E-Verify.

 

This position requires the VA to serve in a remote capacity as the client’s representative, which demands poise, discretion, confidentiality, and exceptional communication skills. Additionally, the VA must have the ability to virtually interact with staff (at all levels) in a fast-paced environment, sometimes under pressure. Remaining flexible, proactive, servant-minded, resourceful, and efficient, with a high level of professionalism, is crucial to this role.

 

The expectations of Rivvly and their clients include developing a working knowledge of that client’s duties, habits, and preferences in order to maximize the relationship and the client’s effectiveness to lead.

 

Essential Duties and Responsibilities:

  • Assist the client with their personal and business calendars by scheduling appointments and coordinating appointments as necessary.

  • Respond to client emails and tasks as received, acknowledging all tasks within the established acceptable response time; respond to all Rivvly communication within a timely manner.

  • Ensure that all the tasks assigned by the client are within the VA scope.

  • Manage the client’s email inbox, responding to emails as necessary based on specific guidelines provided by the client.

  • Conduct research as per client request - this can include research on events, travel, projects, etc. Provide research results to the client within the established timeframe.

  • Complete any purchases as assigned by the client, ensuring specifications of the purchase meet the client’s satisfaction.

  • Execute travel arrangements on behalf of the client - including researching and booking flights, ensuring that all travel reservations meet the requirements as set forth by the client.

  • Receive and make telephone calls on behalf of the client as required.

  • Complete administrative tasks as required by the client - including but not limited to: transcription, business correspondence, and data entry.

  • Complete and submit weekly reports as required, ensuring billed time is accurately tracked.

  • Light travel for events, all travel expenses will be included

  • Other duties as assigned.

 

 

Working Environment:

This job operates remotely. This role requires the use of standard home office equipment such as computers, phones, web camera, and headphones. None of the above-mentioned equipment is provided by Rivvly.

3. Sample Task – You'll complete a task that reflects the work you'll be doing, which you can also use for your portfolio.
 

4. Second Interview – We’ll review your task together, providing feedback and answering your questions.
 

5. Training Week – If everything aligns, you’ll be invited to a training week to experience our workflows and culture.
 

6. Onboarding – Once you successfully complete training, you’ll officially join the Rivvly team!

7. Client Matching - We'll match you with clients based on your skill set, timezone, and working style. Please note you'll be matched with one client at a time and it can take a few months to build up to your desired client load.
